Purpose: Workday allows workers to delegate their Inbox items to a team member if they are unable to perform the actions due to time off or a leave of absence. See the steps below for how to respond or take action on inbox tasks that have been delegated to you on behalf of a team member.
How to Take Action on Delegated Inbox Items
- Click on your Inbox icon.
- Select the Actions tab and click on the Viewing drop down. Select Delegated to Me to view inbox items/tasks that have been delegated to you. When you click on the inbox item, you will be prompted to switch accounts.
- In the Delegated to Me filter, you will be able to view tasks that have been delegated to you. The tasks will be tagged as On Behalf of, followed by the name of the delegator.

- When you click on an inbox item that has been delegated to you, Workday will display the Switch Account option:

- Verify you would like to switch accounts, click ok at the bottom of the screen:
- You will be taken to the Delegation Dashboard, and delegated inbox items will be listed in this section:

- To view possible inbox items that may still need action taken, click on the inbox icon on the top right corner of the page. Note: If you successfully switched accounts, you will see the picture icon for the person who assigned you as a delegate.

- Select "Viewing: All" in the filter to view the delegated inbox items and take action as needed.

- The Inbox, when selected, contains only the Inbox tasks delegated to you by the user on whose behalf you are acting, and from which you can view the details and complete the tasks.
- Note: Delegated Inbox tasks are displayed in your Inbox (for your Workday account) as well. The action item titles display On Behalf of, followed by the name of the delegator to indicate that they are delegated tasks. You cannot view the details or complete the tasks until you switch accounts. In addition, you cannot view the details of or complete delegated Tasks steps, such as those found in the Onboarding business process.
- The Inbox, when selected, contains only the Inbox tasks delegated to you by the user on whose behalf you are acting, and from which you can view the details and complete the tasks.
- When you select Take Action on an item that has been delegated to you, you have the option to Approve, Send Back, or Deny the task.

- To switch back you your account, click on the profile icon picture in the top right corner of the page to view the delegate menu, then click on Switch Account:

- This report provides you with a list of users who have delegated inbox tasks or actions to you.
View All Delegated Tasks
- This report lists all tasks assigned to you through a delegation.
