Purpose: This user guide is for all team members and explains how to view and update your personal information on Workday.

USING THE PERSONAL INFORMATION APPLICATION TO UPDATE YOUR INFO
Log in by clicking the WORKDAY Icon on the Helix

Step 1: From the Menu on your homepage, click on your Personal Information Application:
- Step 2: Change or View your personal information.

The box on the left allows you to change your:
- contact information (address, phone number, personal email);
- personal information (marital status, gender identify, race);
- emergency contacts,
- photo, and
- legal name
- preferred/correct name.
- The box on the right allows you to view this information. The View>>About Me will take you to your Worker (Employee) Profile.
USING YOUR WORKER PROFILE TO UPDATE YOUR INFO
Your Worker Profile page displays information about you, including your office location, phone number, and compensation. Note that the visibility of sensitive information is controlled by individual users’ security profiles.

Step 1: In addition to accessing your Profile through your Personal Information Application, you can access your Worker Profile page by clicking your Profile icon > View Profile
Note: All further instructions in this user guide start from the Worker Profile page.
ADD OR CHANGE YOUR CONTACT INFORMATION
- Step 1: Click the Contact tab on the left. The Contact subtab is selected.
- Step 2: Click Edit and select Change My Home Contact Information to change your personal contact information. Within each section, click the Edit icon to change existing information or click Add to add new information. You can also click within a field to edit.
- Step 3: Click Submit and Done to save your changes.
ADD OR CHANGE EMERGENCY CONTACTS
- Step 1: In your Worker Profile, click the Contact tab.
- Step 2: Click the Emergency Contacts subtab.
- Step 3: Click Edit. Enter or modify your emergency contacts.
- Step 4: Click Submit and Done to save your changes.
MODIFY YOUR PERSONAL INFORMATION
- Step 1: In your Worker Profile, click the Personal tab. The Personal Information subtab is selected.
- Step 2: Click Edit. Enter or modify your personal information
- Step 3: Click Submit and Done to save your changes.
CHANGE YOUR SSN/ITIN NUMBER
- Step 1: In your Worker Profile, click the Personal tab.
- Step 2: Click the IDs subtab. Click Add > Edit IDs

Step 3: Click the "+" button, Select Country, and National ID Type.

- Once you've modified the Add/Edit ID Field, click "Submit" on the bottom left to save your changes.

CHANGE YOUR LEGAL NAME
- Step 1: Click on Personal Information Under Application on the home page
- Step 2: Select Legal Name in the left table under Change
- Step 3: Enter your new information
- Step 4: Attach documentation to support the legal name change and choose Personal Information as the category (this is required and your request will not go through unless there is an attachment)
- Step 5: Click Submit. The change will be sent to Talent Operations for review and approval.
CHANGE YOUR PREFERRED/CORRECT NAME
If you choose, your preferred/correct name will display instead of your legal name.
- Step 1: Click on Personal Information Under Application on the home page
- Step 2: Select Preferred Name in the left table under Change
- Step 3: Clear the Use Legal Name as Preferred Name checkbox.
- Step 4: Enter your updated information.
- Step 5: Click Submit.
Note: The preferred name will display across all systems (Workday, Outlook, Teams, Google, etc.). This will not have any impact on your taxes, pay, or benefits as those all use your legal name. Your email address also will not be impacted.
UPDATE YOUR PRONOUNS
- Log into Workday and click on Personal Information
- Under the left column that says Change select Personal Information.
- Find ‘Pronoun’ and click on the pencil on the right of the box to edit
- Select a pronoun from the dropdown

- If you no longer wish to display your pronoun follow steps 1-3 and click on the x to the left of your pronoun selection to remove it.

- Click Submit to save your changes.
ADD OR CHANGE YOUR PHOTO
- Step 1: In your Worker Profile, from your Actions ,menu, click Personal Data > Change My Photo.
- Step 2: Click the Select files button to locate, crop, and upload your image, or drag and drop your image directly into the Attachments section from your local drive. You can crop and adjust the image by dragging the corners to the desired specifications. The portion of the image within the unshaded circle represents how your photo will look on your profile page.
- Step 3: Click OK and Submit.
VIEW TRANSACTION HISTORY
View your transaction history to see information such as benefit enrollment or personal data change dates.
- Step 1: In your Worker Profile, click your Job tab.
- Step 2: Click the Worker History subtab. Your business process history displays.
- Step 3: Click View Worker History by Category. The data is organized into different tabs to make it easier for you to review your history.
