Context
DSST is now using two-factor authentication for our most critical and sensitive software systems (Workday, Google, Qualtrics, Webmail). Two-factor authentication is the process by which a software system requires a user to enter a second piece of information when logging in (For example, a passcode that is sent to a user's phone). DSST is using Cisco's Duo as our two-factor authentication tool.
Signing up for Duo is very easy! Simply follow the steps outlined below.
Please note, this is to sign up for DSST Duo to access Workday, Google, Qualtrics, Webmail. If you need Duo for IC access, you need to sign up for DPS Duo, and can contact the DoTS Hotline at 720-423-3888.

Signing Up for Duo for the First Time
There are 2 methods by which to start the process:
1) If you received an email from Duo.
2) If you did not receive an email OR you receive an error the link has expired.
Follow the steps below which apply:
1) If you received an email from Duo (titled Duo Security Enrollment, from the following email address: no-reply@duosecurity.com), please follow the steps outlined in the email and begin by clicking the link. The email will look something like this:
2) If you did not receive an email OR you receive an error the link has expired, simply go to one of the following applications and attempt to log in: Workday, Google, Qualtrics, Webmail. When you do so, you should be re-routed and asked to set up Duo.
From here the rest of the process for signing up is identical.
If you use chrome, the first thing you see might be a prompt to update your Chrome browser, in which case you will see this prompt:
You can choose to skip, or update Chrome, which is a very quick process. You can click “See how to update” and you will receive instructions.
After updating Chrome and relaunching the browser (or if you decided to skip this step), you should see the following welcome prompt from Duo. From here, click “Next” and start following the steps.
The first step asks you to download the Duo Device Health application, which checks the security of your device. This is up to you, and not a mandatory application. You can either download the app, skip it, or if you already have it, click “Open the app.”
Next, it will ask you to select an option to log in with Duo. We highly recommend and encourage using the Duo Mobile option, which will send you notification or code directly to your device. This is the simplest and easiest way to log in.
You will then be prompted to enter your phone number:
Next, you will download the Duo Mobile application, if you do not already have it downloaded onto your mobile device.
Once the application is downloaded, you can link it to DSST using the QR code. Scan the QR code provided.
In your mobile app, you will see the organization listed as DSST Public Schools. You can save this organization to your account. Your DSST – Duo is now set up! You should see the following confirmation on your screen:
When you click "Continue" you will be prompted to set up another way to log in, but you should SKIP this step, since we do not use Security Keys at DSST.
You are now all done setting up Duo! 😀
DSST will be turning on Duo authentication Summer 2023. At that point, every time you attempt to log into select applications (Workday, Google, Qualtrics, Webmail) you will be prompted to use Duo. When you visit one of these applications, you will be redirected to Duo and will see the following prompt on your screen:
You will then receive a notification on your mobile device to approve the notification. Once you approve it, you will be logged in!
Activating Duo on a New Phone
If you previously set up Duo and switch to a new phone/device, you can follow these steps below. If you have trouble setting up Duo on the new device, please submit a Help Desk ticket.
1. Go to one of the following applications and attempt to log in: Workday, Google, Qualtrics, Webmail. When you do so, you should be re-routed and see the Duo prompt. Click the blue Other options button.
2. From here, click the Need help? button at the bottom of the popup screen.
3. Finally, click the option that applies (in this case, I got a new phone) and follow the steps.
