Purpose: This user guide provides step-by-step instructions on how to use Workday to assign a new manager for a team member in your management chain. When would this happen? When a team member you currently manager or who your direct report manages requires a new manager within your campus AND their position isn’t changing.
Important Note - You can only move people in your management chain. If you need someone moved into your team who you do not currently manage reach out to their current manager to process this action. (This means you can only move people you directly or indirectly manage)
Please also note if a team member has an in progress or pending staffing event, such as a future job change or termination, you will not be able to edit the manager of the team member until the effective date of the staffing event has passed.
Before you begin, you will need to determine whether or not the team member that you want to make their manager is or is not currently considered a manager in Workday. The quickest way to uncover this answer is to type the manager’s name in the search field.
If you type the new manager’s name in the search field and you see something similar to the image below that says "Supervisory Organization", then follow the steps below to move the team member to their team.
If their name only appears next to a picture or an icon of a person (see screenshot below), then they do not currently have a supervisory organization and therefore are not considered a manager in Workday. Please reach out to your Talent Operations partner to request to make them a manager. Once your Talent Operations partner has confirmed they are a manager, return to this guide and follow the steps below.
Option 1: Use Move Workers (Supervisory) Task
This option is best when moving multiple people from a sup org to different sup orgs. (i.e Moving worker 1 from manager A to manager B, worker 2 from manager A to manager C, and worker 3 from manager A to manager D)
Step 1: On your home-page, search for the task - Move Workers (Supervisory)
Step 2: Enter the date the management change should be effective. Your team name (supervisory org) will auto populate in the second field. If you are moving someone who is not currently in your sup org then remove your name and type in the name of the current manager of the person you are moving. Once you are done, click Ok.
- Note: you are entering the supervisory organization that the person is currently in, not the one you want to move them to
Step 3: On the next page you will be able to select the team members that you would like to move to a new manager(s). If you are moving everyone to the same manager, use the Proposed Supervisory Manager at the top of the page. If you are moving team members to different managers leave that box at the top blank and enter in the new manager in the row containing the team member.
Step 4: Once you are done, click Submit. The change will go to your School Director for approval (if the person you are moving is at a school).
Option 2: Use Worker Profile
Step 1: Search for the person you want to move and click on their name to go to their worker profile.
Step 2: Click on Job in the left side bar and select the “Organizations” tab
- Optional: Filter for “Supervisory” under Organization Type to make it easier to find the right organization. Click on "Organization Type" to pull up the filter options.
Step 3: Click on the 3 dots next to the supervisory organization in the first column titled Organization (usually the name of the manager) and hover over “Reorganization” then select “Move Workers (By Organization)”

Step 4: Enter the date the management change should be effective
Step 5: Select the people you want to move from the dropdown (you can select more than one as long as they are being moved to the same new manager). Type in the name of the new manager in the “To” dropdown. Click Submit at the bottom of the screen
Step 6: Once you are done, click Submit. The change will go to your School Director for approval (if the person you are moving is at a school).
