Purpose: This user guide outlines how to view and correct a pending and/or approved time-off request from your desktop and mobile phone. To view instructions on how to submit a new time off request, refer to this guide.

How to View Absence Balances from Your Absence Calendar
Step 1: From your home-page, click on the Menu icon:
Step 2: In the “Personal” section of the Menu, click on the “Absence” application:
Step 3: In the “Request” section, click on “Request Absence” to view your absence calendar.
Step 4: The Absence Balances will default to your balance as of the current date. Click on "View Balances" to change the “Balance As Of” date to view your absence balances as of a specific date. Enter the last day of the school year to see all balances including future days scheduled through the end of the year.
How to View Absence Balances from Your Worker Profile
Step 1: From your home-page, click on your profile icon. This will either be a picture you set or it will be a generic person icon:
Step 2: Click on "View Profile” to navigate to your worker profile:
Step 3: In the menu on the left side of the screen, click on the “Absence” tab (you may need to click "More" to expand the Menu):
Step 4: Click the “Absence Balance” tab to view a summary of your time off accrual and balances:
How to View Your Absence Request History
Step 1: From your home-page, click on the Menu icon:
Step 2: In the “Personal” section of the Menu, click on the “Absence” application:
Step 3: In the “View” section, click on “My Absence” to view your absence history and future dated absences:
- Click on “Absence Requests” to view absence request history including future dated time off:
- Click on “Absence Balances as of Current Date” to view your absence balances as of the current date (days scheduled in the future are not included in your balance from this view):
How to View Your Absence Balances as of a Certain Date
Step 1: From your home-page, click on the Menu icon:
Step 2: In the “Personal” section of the Menu, click on the “Absence” application:
Step 3: In the “Available Balance as of Today” section, please note you will see your balances as of the current date, listed at the bottom of the page. In the “View” section, click on “Absence Balance” to view your absence balances as of a specific date:
Step 4: Enter a date in the “As Of” field:
Step 5: Click “OK” to continue. This report will display your balance as of the date you selected in the prompt. Please keep in mind you may see a negative balance if you have not yet reached your accrual maximum. Team members who are eligible for time off are allowed to borrow time off that has not yet accrued, however, Workday does not display future accruals in your balance:
How to Cancel or Edit a Submitted Time Off Request
Submitted time off requests that have not yet been approved can be canceled. Once approved, you must correct the request to cancel it.
Step 1: From your home-page, click on the Menu icon:
Step 2: In the “Personal” section of the Menu, click on the “Absence” application:
Step 3: In the “Request” section, click on “Manage Absence” to navigate to your absence calendar.
Step 4A: Time off that has been approved will be highlighted in green. You cannot add new days when editing an approved absence. You must submit a new request for the additional days. To cancel or edit approved time off:
- Click the time off entry on the calendar:
- Select the “Cancel Absence” to delete/cancel the requested hours.
- You can update the time off by clicking “Edit”. To submit a new request use this guide:
- If needed, you can enter a note in the comment sections, and you can attach documents by clicking “Select Files” then click “Submit Request” at the bottom of the page.
Manage Your Time Off and Leave of Absence - Mobile
Sync Calendar Information – iPhone, iPad, & Android
The Time Off app allows you to see personal events when you request time off by syncing your personal calendars. From the Time Off app:
Step 1: Click Next when prompted to connect your calendars.
Step 2: Click OK when prompted to allow Workday access to your calendars.
Step 3: Select which calendars to connect to Workday and click Connect to view personal calendar information in your Workday calendar
Request Time Off - iPhone & Android
The Time Off app displays your time off balances and time off details. You can also use it to request time off. From the Time Off app:
Step 1: Tap the days you want to request for time off to highlight them. You can tap a highlighted day to deselect it.
Step 2: Tap Next.
Step 3: Select the Time Off Type. The Review Time Off screen displays.
- (Optional) Tap a day to adjust the number of requested hours for each day and enter a comment.
Step 4: Tap Submit (Tap Done if on Android). A confirmation page displays. Your request routes to your manager for review and approval.
Correct Time Off - iPhone
From your mobile devices, you can correct time off that has been approved by a manager. From the Time Off app:
- Step 1: Tap Request Time Off.
- Step 2: Select existing time off.
- Step 3: Update hours, as desired.
- Step 4: Click Submit.
How to View Your Carry Over Balance from SY21/22 - SY23/24
Step 1: From your home-page, click on your profile icon. This will either be a picture you set or it will be a generic person icon:
Step 2: Click on "View Profile” to navigate to your worker profile:
Step 3: In the menu on the left side of the screen, click on the “Absence” tab (you may need to click "More" to expand the Menu:
Step 4: Click the “My Personal Carry Over Balance” tab to view your accumulated carryover balance from SY21-22 through SY23-24:
