Workday User Guide: Request Leave/FMLA Guide
Purpose: This user guide outlines how team members can request leave, including DSST Paid Leave/FMLA, modify leave absences, and return from leave. Please see the Leave and FMLA Guide for more information on qualifying for leave and the approval process.
Step 1: Secure the appropriate documentation for your leave (you must upload one of the documents below in order to submit a leave request).

- For the birth/adoption/placement of a child, complete Medical Certification: Employee’s Serious Health Condition for your own pregnancy or the Medical Certification: Family Member’s Serious Health Condition form for your partner’s pregnancy.
- For your own serious medical condition, have your medical provider complete the Medical Certification: Employee’s Serious Health Condition.
- For care of a family member, have their medical provider complete the Medical Certification: Family Member’s Serious Health Condition form.
- For any qualifying exigency arising out of the fact that a spouse, son, daughter, or parent is a military member on covered active duty or call to covered active duty, complete the certification of Qualifying Exigency for Military Family Leave form.
Step 2: From your home-page, click on the Menu icon:
Step 3: In the “Personal” section of the Menu, click on the “Absence” application:
Step 4: In the “Request” section, click on “Request Absence” to view your absence calendar.
Step 5: Click "Select Date Range" and then enter the start date "From" and end date "To" and the "Type" of leave that you are requesting, and then choose "Next" to continue:
- DSST Paid/FMLA Continuous Leave: select this if you have been employed for over 12 months and you will be on FMLA and DSST Paid Leave at the same time, all of your PTO has been exhausted, and your leave will be more than five contiguous days in length.
- DSST Paid Continuous Leave: select this option if you have been employed with DSST for less than 12 months but are requesting leave that exceeds five consecutive business days in length and all of your PTO is exhausted.
- FMLA Unpaid Continuous Leave: Select this leave if you have been employed with DSST for over 12 months and you have exhausted the 30 days of DSST Paid Leave.
- FMLA Unpaid Intermittent Leave: Select this leave if you have been employed with DSST for over 12 months and your leave need is intermittent and/or numbers less than five consecutive business days in length.
*Note: FMLA requests must reflect the time off recommendations made by medical providers in the documentation submitted. Absences outside of the designated time off will be sent back to the Team Member for correction. Leave outside of the designated time on the medical forms must be requested as PTO or unpaid time off.
Step 6: Confirm the dates of your leave, enter your "Last Day of Work" and any necessary comments, and then scroll to the bottom of the screen to upload the required documents by clicking "Select Files" and then click "Submit" to continue:
- Once the document is uploaded, choose "FMLA" for the document category if you are requesting FMLA or "Leave of Absence" if you are requesting DSST Leave only. Then click "Submit" at the bottom of the page to complete your request.
Your leave request will be routed to your HR Partner for review and approval. If your leave is approved, you will receive paperwork confirming your leave. You and your manager will both receive an additional notification of your leave approval.
If your leave is not approved, or if more information is needed, the HR Partner will send your leave request back to you with a request to provide more information.
Step 7: You will need to request a Return from Leave once your leave is completed. Please review the Workday User Guide: Return from Leave for instructions.
